COPE’s Online New Starter Health Assessments (ONSHA) Process Overview

ONSHA is a web-based Occupational Health application available through our customer portal. Access to the portal is controlled by individual user accounts, controlled by COPE.

COPE's full online Customer Portal is designed to:

  • Support easy access to online OH advice and guidance documentation as well as OH service applications e.g. new starter health questionnaires, management referrals, etc.
  • Support a centralised source of service provision for large, multi-site customers
  • Reduce customer dependence on specialist OH advice through online guidance and tools (new for 2011/2012)
  • Offer flexible, 24/7 online resource to key customer account holders
  • Improve service efficiency and reduce costs

How ONSHA works

The process begins with the customer registering the basic identifying details of the prospective employee, which must include that person's email address.  ONSHA then sends an email to the applicant.  This email contains a unique secure link for each applicant.

The applicant then uses the link to access the ONSHA system and completes their details and health question responses.

After completing their details, the COPE Occupational Health team can then review the responses given.

After Occupational Health have performed their review (which may require direct contact with the applicant), they indicate the applicants fitness outcome.  This generates a “Fitness Certificate” that is available to the customer via their portal login.  This certificate page can be printed if required.

Cost and Contract

The Portal is charged on a "per capita" subscription basis and requires a minimum of a 12 month service term with a minimum customer headcount of 100. It is available to named customer contacts via a web browser.

Advantages of COPE’s Online Occupational Health system.

  • Paperless system – so no postage costs (and avoids postal delays/strikes), and saves paper resources.
  • On-page help tips about the questions are provided to the applicant.
  • All input is controlled – no questions can be skipped, so the OHA doesn’t need to waste time chasing for details that should have been supplied.
  • Online tracking of each individual’s progress (in overall percentage terms) is available to the Customer.
  • Data feeds directly into COPE’s OH database, so avoiding re-keying of a paper form into the database.
  • Legibility of writing issues are avoided.
